Marketing, Development, Administrative Specialist

Job Summary
The Marketing, Development, Administrative Specialist plays a key role in supporting the day-to-day operations of the nonprofit organization, JBS transition experts. The specialist’s key duties include assisting with marketing, communications, fundraising and donor relations, and administrative tasks to support the Executive Director and the organization’s Mission and goals.

Key Duties and Responsibilities
 
Administrative Support:
o Provide support in the monitoring of expenses, revenue, and cash flow.
o Coordinate with the Board Treasurer providing financial details and recordkeeping support.
o Create/maintain databases, reports and spreadsheets and records. 
o collaborate with program manager to assist with workshop series and community outreach activities.
 
Marketing and Communications:
o Represent the organization at community events, conferences, and meetings, advocating for the organization’s mission.
o Develop and implement marketing strategies to increase awareness and engagement.
o Manage social media accounts and create content (posts, newsletters, email campaigns).
o Maintain and update the organization’s website and marketing materials and maintain brand consistency.
o Coordinate outreach efforts, including press releases and event promotions.
 
 Development & Fundraising: 
o Assist in donor stewardship, tracking, and engagement efforts.
o Support grant/fundraising research, writing, tracking and reporting.
o Coordinate fundraising campaigns, including the annual Golf Fundraiser and other initiatives.
o Maintain donor databases and ensure timely acknowledgments and reports.
 
The Administrative Specialist is also responsible for:
o Adhering to VetCTAP’s policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.
o Commitment to and conducting oneself in accordance with the highest standards of integrity and ethical behavior, particularly with regards to maintaining confidentiality and safeguarding sensitive information in compliance with all applicable laws, rules, regulations and company policies.
o Maintaining a working knowledge of basic parliamentary rules and other formal meeting protocols, documentation and document retention standards, regulations related to job tasks, and internal policies and procedures related to job tasks.

Qualifications and Skills
o Detail-oriented, organized, and able to multitask in a dynamic environment.
o Ability to work independently as well as collaboratively as a team member.
o Problem solving skills.
o Ability to exercise discretion and independent judgement.
o Strong work ethic, interpersonal skills, and communication skills both verbal and written.
o Show professionalism interacting with volunteers, vendors, participants, staff, and donors.
 
Education and Qualifications 
o 2+ years’ experience working in nonprofit organizations or similar marketing and development roles.
o Work experience in supporting budget management, accounting and/or grant preparation is    preferred. 
o Proficiency in Microsoft Office Suite and other relevant software.
o Proficiency using Zoom, Google Docs, and Canva. Bloomerang a plus.  
o Able to work weekends and nights as needed. 
o Understanding of and ability to monitor and post in social media accounts
 
Physical Requirements (with or without accommodation)
o Viewing computer screens for up to eight hours a day.
o Use of keyboards and mouse up to eight hours a day. 
o Remain in a stationary position (sitting or standing) for extended periods of time.
o The ability to lift, carry, push, pull or otherwise move objects up to 20 pounds.
o Ability to stand for up to 6 hours at events.

Work Environment: 
o This position is virtual except when required to attend events, job fairs, etc.
